Position Summary/ Purpose Support the Commercial manager in supporting the front end sales function of the Room Units Business, providing high level support to our customers from quotation through order processing stages. Responsible for the entry of orders enquiries, and quotes on to the company’s ERP computer system. Working closely with customers, external sales, applications, engineering, manufacturing, other internal departments and suppliers. The main focus being on supporting the commercial manager in maintaining Office KPI’s, ensuring updates are communicated in a proactive, timely and professional manner. Main Duties and Responsibilities Manage the Customer Service Team and execute the best performance for: Processing enquiries, quotes and orders onto the company’s ERP system, printing and checking of acknowledgements prior to sending to the customer Obtaining clarification of detail from customers including checking of stock levels and credit account status Requisition of supplier purchase orders and cross site products when needed Maintain established customer service related KPI alongside Commercial Manager and Business Unit Director Execute new internal processes as defined by the Commercial Manager Responsible for the training and personal development of direct reports Agree discounts in line with company guidelines and in consultation with ASMs Bring forward ideas and initiatives to improve performance and productivity of job function to the Commercial Manager Recommend solutions to challenges faced within the day to day operation of the role Manage and maintain the office PDR face to face, annual leave and absence processes Actively maintain office culture, ensuring the office is a friendly place to work Responsible for supporting internal reports with their daily work activities Promote the dresscode, ethics and daily best practice principles in the Vantage Point office, maintaining a high level of professionalism at all times Act a key spokesperson between the SMT and direct reports ensuring they are communicated to on a regular basis on changes within the business and future strategy Conduit along with team between production and external sales Work to resolve invoice queries Qualifications/Education Essential: GCSE Level / A Level or equivalent. Computer literacy Customer Service experience Team Leader / Assistant manager experience Desirable: Proven record of team management/development Product experience and training for Building Envelope , HVAC and/or associated equipment Installation design, including distribution system sizing and flow calculations. Experience Essential: Experience of leading a Customer Service / Sales support team Customer service and commercial contracts experience Identifying customer needs, requirements and specifications Computer literacy Training/coaching Desirable: Experience of ERP/MRP system ideal but not essential Understanding of the Building Envelope, HVAC and Building Services industries & contracting Knowledge & experience of having product specified by engineering Architects and Consultants Experience of manufacturing or similar environment Previous experience of deal with engineering main contractors, architects, consultants and local authorities – ideally within the Building Services sector Aptitude, Skill and Conduct Strong commercial awareness Ability to work with attention to detail and high degree of accuracy An aptitude for understanding technical information An aptitude for appreciation of commercial and contractual obligations Excellent communication skills and telephone manner Well organised, professional and friendly Flexible and adaptable whilst being proactive and positive in dealing with work matters and others Being able to work as a team member under pressure Ability to multitask
