Job Summary: This position interacts with both internal and external teams, and clients to oversee and assist in the delivery of university-related marketing projects across all disciplines including campaign activity, recruitment, public relations and multi-media design.
Nature of work: Reporting to the Manager, Creative Brand and Marketing, the key responsibilities will include establishing priorities, clarifying client objectives and requirements, developing project timelines, documenting projects, coordinating workflow within the C&M team and oversee print production and delivery of materials.
This position works closely with departments and faculties across the university to ensure that all marketing activities are delivered on time, are of exceptional quality and align with the university strategic priorities.
Responsibilities/accountabilities:
- Co-ordinate multiple, simultaneous project schedules, working with cross‐functional team
members that include internal and external resources. - Develop and update project and production timelines, and enter into project management software or systems for tracking.
- Oversee print production and vendor co-ordination for the university E-store.
- Co-ordinate and plan final production of project pieces, manage the print, delivery process including obtaining estimates and final billings as per the procurement policy.
- Co-ordinate Work-In-Progress meetings with the Communications and Marketing team weekly, and book/ deliver project briefings as appropriate.
- Develop and prepare regular reporting to the Manager on the status of team progress and projects in conjunction with others in the marketing team; communicate timeline status when appropriate to clients.
- Provide post-project analysis and reports as required by the C&M management team.
- Assist in proofing content/ design layouts as required.
- Adhere to the university’s creative brand and editorial style guidelines, and act as an ambassador of the brand, both internally and externally.
- Ensure appropriate university finance and procurement policies are followed both internally and with external departments and vendors.
- Work with the C&M team to co‐ordinate the delivery of promotional campaigns and liaise with necessary external parties to assist with the delivery of client marketing programs/ initiatives.
- Assist the Manager in the implementation of strategies and plans to further enhance the university brand, best practices and vendor relationship activities.
- Provide input as to how to best assist client groups with the fulfilment of their individual marketing programs/ initiatives.
- Communicate with university clients and external vendors on a regular basis.
- Ensure all projects meet or exceed objectives, deadlines, budget requirements and production expectations.
- Review and monitor the client approval process.
- Ensure completed materials and production documents (i.e. invoices, samples) are archived appropriately.
- Identify and communicate problems that arise with projects, including but not limited to budget issues, missed deliverables, deviation from objectives and timelines.
- Complete other duties as assigned.

- Knowledge of Photoshop, InDesign, Adobe Suite and all design file formats, file transfer/ management software and Microsoft Suite.
Required Education:
- Completion of a formal post-secondary degree or diploma in Marketing or related field.
Required Experience:
- Minimum 3-5 years’ experience working within a corporate Marketing or production function (education and technology industry experience is preferred).
