Marketing Event Specialist

Survalent Technology is seeking a versatile, energetic, and determined individual to join our growing organization. The Marketing Event Specialist will support the Marketing team’s goal in expanding Survalent presence at international tradeshows and company-hosted events. Responsibilities

  • Tradeshows: work with the Marketing Events Manager and the global sales team to identify appropriate shows and determine the level of participation (i.e., attend, sponsor, host a booth, present, etc.). The specialist will manage registration, event communications, speaker abstract submission, booth development, invoicing, giveaways, shipping logistics, and post-event reporting.
  • Survalent-hosted events: work with the Marketing and global sales teams to execute regional events throughout the world. The specialist will help plan and execute the event and may be involved in such activities as venue selection, catering planning, exhibitor and speaker management, event communications, vendor management, post-event reporting, etc.
  • Must be able to travel internationally to Survalent events when required.
  • Tradeshow planning and research. Tasks may include:

** Identifying appropriate tradeshows and analyzing participation opportunities, including sponsorship options, exhibitor booth options, and speaking opportunities

** Managing registration and information requirements from the event host

** Creating and sending event communications

** Managing speaker abstract submission process

** Maintaining a running report on tradeshow KPIs and costs

** Ensuring Survalent participation is being promoted on the website and social media

  • Event planning and research. Tasks may include:

** Investigating and recommending hotel, catering, entertainment, and customer giveaway options

** Coordinating accommodations for staff and attendees

** Managing shipping arrangements

  • Registration support. Tasks may include:

** Reviewing and confirming registration requests

** Responding to customer questions and requests

  • Speaker and exhibitor management. Tasks may include:

** Managing speaker requirements (bios, photos, presentations, etc.)

** Sourcing exhibitors and fielding requests from confirmed exhibitors

** Maintaining the exhibitor prospectus and exhibitor manuals

  • Vendor management. Tasks may include:

** Obtaining quotes, placing orders, managing proofs, etc.

** Negotiating pricing and discounts

** Working with vendors to confirm that contracted work will meet deadlines and services will be delivered as expected

  • Event management. Tasks may include:

** Set up and clean-up of events

** Working at the registration and inquiries desk

** Taking photographs at event and uploading them to social channels

** Monitoring event hashtags

  • Event communications management. Tasks may include:

** Comfortable creating and updating events on event-management software (CVENT) and universal lead capture software, setting up and sending event communications via a marketing automation solution such as Marketo, and working with event stakeholders.

** creating and distribute event communications, including invitations, reminders, follow-up emails, and social posts

** writing and editing content

** generating and segmenting customer lists from Salesforce and Marketo

** designing, setting up, scheduling emails from Marketo

  • Other duties as assigned by Event Manager

Education, Knowledge, Skills, and Abilities

  • Degree/ Diploma
  • 2+ years’ experience of in issuing purchase orders
  • 2+ years’ experience in systems such as Cvent, Marketo (marketing automation software)
  • 2+ years’ experience in Universal Lead Capture software, Salesforce, MCs office, MCs Team
  • Good Knowledge of Adobe Suite (InDesign, Illustrator)
  • Ability to communicate technical and non- technical information vernally and in writing
  • Highly organized, proactive, and willing to adapt and learn new skills and technologies
  • Must be able be flexible, problem-solving mindset and comfort in a fast – paced environment
  • Must have Experience coordinating trade show participation, planning company-hosted events, and managing event-related communications
