POSITION SUMMARY

The Marketing Administrator/Coordinator is a critical role within the Marketing Communication

Department responsible for supporting the seamless coordination and execution of various marketing

and sales initiatives for the North America Division.

This individual will be involved with the management of trade shows; handling of invoices, payments,

and rebates; coordination of hard mailings and emailings; assisting with promotional items, marketing

tools inventory and vendor management; organizing education and training initiatives; field marketing

support inquiries, and support of other marketing, brand and corporate initiatives.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Additional duties and responsibilities may be assigned, as necessary.

1. Marketing Asset Support (25%)

  • Assist in managing marketing tool inventory, sample-making efforts, brand/corporate asset development, project case study write-ups, proofreading, and other marketing-related assets.
  • Project case study support may involve facilitating interviews, consolidating notes and photo and video content, and coordinating with writers.
  • Support of marketing tool inventory includes reviewing reports, coordinating replenishment and allocation of goods, and other special projects.

2. Data Management (20%)

  • Maintain and update marketing databases and tracking lists, including contracts, vendors, rebates, sample-making, sponsorships, project spotlights, trademarks, customer information/leads, mailing lists, and contact databases.
  • May include project-specific databases and trackers.

3. Project-Specific Support (20%)

  • Support key projects and initiatives led by Marketing, including the review and updating of project plans, mass email campaigns, schedules, guidelines, meetings, and presentations.

4. Administrative Support (20%)

  • Provide general administrative support to the Marketing team, including invoice review, request for proposals (RFP), purchase orders, payment processing, rebate review, scheduling meetings, managing calendars, managing web inquiries supporting field requests, and organizing files.

5. Event Coordination (15%)

  • Assist in planning and coordinating events including industry trade shows and conferences, internal lunch & learn educational sessions, and team-building events.
  • May involve on-site preparation and support.

REQUIRED SKILLS & QUALIFICATIONS

Education and Experience:

  • Bachelor’s degree, preferred with a major in Marketing, Communications, Business Administration or a related field and or communications in Marketing, Business Administration or related field.

Specialized Skills and Experience:

  • 2+ years experience in Marketing, administration, project management, or related roles.
  • Strong organizational and multitasking abilities.
  • Proficient in Microsoft Office Suite, particularly Excel, Word, and PowerPoint.
  • Excellent written and verbal communication skills.
  • Ability to work in a fast-paced environment with cross-functional teams and manage multiple projects.
  • Strong attention to detail.
  • Basic understanding of branding principles.
  • Team player with strong interpersonal skills. Maintain a positive, cooperative attitude with all employees and all customers.
  • Ability to take the lead and willingness to be hands-on; proactively listen and ask questions.
  • Experience with Salesforce or similar CRM preferred.
  • Experience with MailChimp or similar email marketing tool preferred.
  • Experience with Monday.com or similar project management tool preferred.
  • Experience in coordinating trade shows and managing sponsorships preferred.

Travel Requirement:

  • 5-10%, domestic.

Physical Requirements:

  • Lift: Must be able to lift and/or carry a minimum of 25 pounds.
  • Push/Pull: Must be able to push/pull 25 pounds.
  • Standing: Must be able to stand at least 25% of the day.
  • Sitting: Must be able to sit at least 50% of the day
