Marketing Administrator

The Opportunity

Hybrid – work remotely 2 days/week

The Marketing Administrator provides administrative support to the marketing department in the areas of merchandising, marketing material distribution and promotions. This role ensures a continuous and accurate flow of coordinating product set up and maintenance in the ERP, sample and print procurement as well as order entry for marketing materials. The Marketing Administrator will act as back up for Marketing Order Coordinator and support all sales channels marketing and sample needs via telephone, email, video conference, and walk-in, while working as a collaborative member of the marketing team. This role will also support the Channel Marketing Manager with the administration of all promotions and events including incentive reconciliation, fulfillment and tracking. Our Marketing Administrator will also work collaboratively with our Customer Service teams and follows all Customer Service procedures and policies.

What you will be doing

· Entering sample orders (Shop@Home, US Market primarily) and trade shows.

· Assist with product launches and dealer roll outs/TM Auto-Ships.

· Supports all marketing procurement efforts

-Create purchase orders for internal and external sample productions. Working with external vendors to ensure seamless delivery of materials to produce samples.

-Coordination of Freight/Logistics with warehouse and customer service teams.

-Receiving internal and external purchase orders. Reviewing open purchase orders and internal sample orders on a weekly basis.

· Completing and reviewing weekly transfers from our Toronto to Calgary Warehouse.

· Regularly review the marketing order book, communicating with TeamMates on their outstanding sample orders. Sending reminders for pick ups when necessary.

· Product set up and item card/code creation; Maintenance of item card and KITBOMs

· Maintain and review the ASK TORLYS email inbox, coordinating with other departments for follow up as required.

· Issuing credit memos and completing month-end tasks (e.g. material write-offs).

· Administer payouts for promotions and campaigns.

· Ensures that all processes and procedures are followed and quality standards are met.

· Understands company capabilities and high service level expectations.

· Act as backup to our Marketing Order Coordinator/Marketing Assistant and support internal teams whenever needed.

· Manage display Blanket Orders – Updates/Creation

· Manage Display contracts for all categories and display systems – updates and filing.

· Maintenance of K: Drive. Reviewing and organizing the network files/folders.

· Demonstrates professionalism including, appearance, attitude and telephone/email etiquette.

· Other duties as required.

Qualifications

· 2+ years preferable industry related Customer Service/Marketing experience required to create, maintain and enhance relationships with key internal stakeholders.

· Strong communication, organization and interpersonal skills

· Post-secondary Diploma or Degree.

· Experience in building materials industry an asset. Flooring and home renovations products ideally.

· Exceptional phone and customer service skills.

· Excellent computer skills, with proficiency in Microsoft Office Skills (Outlook, Word, Excel) and experience in Navision as asset.

· Must be hardworking, a self-starter and a problem solver.

· Analytical and results oriented.
