We’re are a not-for-profit national trade association that represents and advocates for member companies in the heating, ventilation, air conditioning and refrigeration industry. Our members include wholesalers, manufacturers, contractors, and other professionals with an interest in this industry and improving its impact on the environment. We’re looking for a talented and committed Chapter Relations Coordinator at HRAI to deliver a high level of satisfaction to our member-led Chapters located across the country. We hope this search ends with you.

The Role

As an integral member of the HRAI team, you will provide administration and coordination support of the activities of HRAI’s 16 Chapters across Canada including working with their respective Directors/Executives/Committee Members, ensuring that the Chapters are operational, active, providing high levels of engagement, services and satisfaction to their members.

Key Activities Include:

  • Act as the staff liaison between the HRAI Chapters and HRAI Canada.
  • Assist Chapters where required, including but not limited to:
  • Ensure Chapters are operational, engaged and “healthy”.
  • Assist and/or organize Chapter Meetings/Events (promotion, registration, venue/menu selection, etc)
  • Maintain a speaker database and/or assist Chapters with booking speakers when required
  • Chapter governance oversight and/or support and document management (secure bylaws and agreements from all Chapters, governance toolkits, annual marketing plans).
  • Oversee recruitment and orientation of new volunteers for Chapters
  • Share best practices, ideas and concepts amongst the Chapters
  • Organize and host the Regional Council meetings including preparing agendas and taking minutes.
  • Organize Chapter Leadership Forum
  • Support HRAI’s national regionalization initiatives
  • Assist HRAI in the promotion of the benefits of HRAI’s various Member Advantage Programs to the Chapters.
  • Travel to Chapter meetings as required, and/or coordinate other HRAI staff to attend.

Skills & Abilities

  • A post-secondary degree/diploma in administration, program/project management, or in a related field
  • 3-5+ years minimum previous experience in an administrative or coordinator role, ideally with a Non-for-profit association
  • Average to above average technical skills in using MS Word, Excel, Outlook and PowerPoint (or similar presentation software)
  • Previous experience using a database including updating, maintaining and reporting
  • Professional communication and interpersonal skills to interact effectively with a broad range of internal and external stakeholders
  • Strong problem-solving skills to facilitate optimum program success.
  • Attention to detail in maintaining databases, determining and maintaining compliance to specific program policies and requirements
  • A collaborative approach to conflict resolution
  • Able to multi-task with accuracy
  • Analytical thinker
  • Team oriented with a focus on collaboration across divisional lines

Working with HRAI

This is a FT positon working at our modern office in the Airport Corporate Centre area (401 & 427). Currently HRAI staff are providing our services via a hybrid model (in-office and home office) but the successful candidate will spend their training period strictly in-office. All staff are provided the necessary technology to be able to work from home. You’ll receive 3 weeks paid vacation, paid benefits, flexible hours, eligibility to join our RRSP plan after 1 year, and annual funding for continued development of our staff.
