Job Description
We are looking for an Administrative Assistant to join our Alternative Investments team. Reporting to the Managing Director and Head of Global Real Estate Investments, the Administrative Assistant will provide administrative support to the Global Real Estate investments teams located in Toronto, Regina, Vancouver and London (UK). Specifically, the Administrative Assistant will support the Managing Director, Vice President & Directors and Vice Presidents on the Global Real Estate investments teams.
The Administrative Assistant will work closely with another Administrative Assistant, based in Regina, who provides support to several Regina based members of the Global Real Estate Investments Team.
Key Responsiblities
Administrative Tasks
- Manage calendars, schedule and co-ordinate meetings involving TD and external participants across multiple time zones
- Make global travel arrangements and itineraries
- Prepare expense reports and complete expense reconciliation
- Manage address books and enter contact information into address books
Project Management Tasks
- Co-ordinate larger scale meetings (up to 30 internal and external attendees) involving asset manager, development and other partners visiting the Toronto office
- Co-ordinate the attendance of team members at real estate conferences around the world
- Assist with tasks associated with the establishment of new office locations, the relocation of team members to new locations as well as the onboarding and departure of team members
Event Planning
- Complete logistical & coordination tasks associated with the team’s participation on property tours domestically and internationally
- Assist with the organization of tours for clients (investors) of properties held by the global real estate strategy
- Complete logistical tasks associated with marketing efforts including client visits & tours, participation at conferences and media interviews
- Help organize annual meetings held each fall in Toronto and across the country with real estate partners
Support for Investment Activities
- Complete and circulate agendas for weekly and monthly team meetings
- Collect and distribute materials to support weekly global real estate approval meetings
- Collect materials in support of weekly alternatives investment committee meetings. Co-ordinate with the investment committee secretary to support the distribution of those materials
Data Entry Tasks
- Support the finalization of letters and financials in Microsoft Word & attach authorization on forms and confirmations
- Input data into various databases for the production of financial statements
- Compile and distribute various internal and external reports
Other Tasks
- Support other Administrative Assistants, particularly during office absences
- Conduct general office duties as required
Job Requirements
- The successful applicant will have demonstrated the following skills and abilities with a minimum of 3-5 years of administrative experience in a professional environment:
- Excellent communication skills; both written and oral
- Takes initiative, adjusts to competing priorities in a fast-paced environment and embraces change
- Team oriented, possess excellent interpersonal skills
- Able to independently manage multiple tasks
- Strong organizational skills and time management skills
- Provide occasional support outside regular business hours
- Proficient in the use of computer programs (Microsoft Office) and office equipment
- MINIMUM EXPERIENCE & EDUCATION
- High school diploma
- 3+ years of experience as an administrative assistant preferred (though not required)
